Fire safety compliance software for schools

Fire safety compliance software for schools

EduComply brings a school’s fire safety evidence into one live record: the fire risk assessment and its resulting actions, the recurring alarm and emergency lighting checks, and the certificates that prove servicing is up to date - so you can show fire compliance at any moment, not reconstruct it before an inspection.

What is fire safety compliance software?

Fire safety compliance software keeps a school’s fire-safety evidence and recurring checks in one place and keeps the compliance position current automatically. In EduComply that means the fire risk assessment is held as evidence against the school’s fire requirement, the actions it recommends are tracked to completion, and the routine checks that sit around it - the weekly alarm test, emergency lighting tests, extinguisher and fire-door checks - are generated on a schedule and completed on-site with photos.

It does not write your fire risk assessment. A competent person carries out and authors the FRA; EduComply reads the assessment you already hold, extracts its review date, risk rating, findings and recommended actions, links it as evidence, and surfaces the follow-up work. The value is coordination and proof, not replacing the assessor.

Who it is for

Built for the people accountable for fire safety across a school or a trust of schools, and the site teams who carry out the routine checks.

Estates and compliance leads

Responsible for keeping the fire risk assessment current and the resulting actions closed out - and able to prove it.

Site and premises teams

Carrying out the weekly alarm test and the monthly and annual light tests, and recording them as they go.

Trust estates and H&S directors

Needing one view of fire compliance across every school, with overdue work surfaced centrally.

Headteachers and SLT

Accountable as the responsible person for fire safety and needing a clear, current picture rather than a folder of certificates.

The problem this solves

Fire safety is not one document - it is an assessment, a stream of recurring tests, servicing certificates from several contractors, and a list of remedial actions, all on different clocks. Managed by hand it is easy for a review date to slip or an action to stall between the report and the fix.

  • •The fire risk assessment review date passes unnoticed because it lives in one person’s calendar.
  • •Actions recommended in the FRA get lost between the assessor’s report and the work actually being done.
  • •Weekly alarm tests and monthly light tests are recorded on paper, if at all, and are hard to produce on demand.
  • •Servicing certificates from the alarm and extinguisher contractors are filed across inboxes.
  • •At trust level, no one can see which schools are behind without emailing each one.

How fire evidence, actions and checks connect

EduComply models fire compliance as a state kept current from real evidence and completed checks - not a to-do list maintained by hand.

  1. 1

    FRA as evidence

The fire risk assessment is held as evidence against the school’s fire requirement, with its review date driving the reminder for the next review.

  2. 2

    Findings become actions

The remedial actions the FRA recommends are turned into tracked tasks, so nothing recommended is quietly dropped.

  3. 3

    Recurring checks

The weekly alarm test, emergency lighting tests, extinguisher and fire-door checks are generated automatically on their own schedules.

  4. 4

    Completion with proof

Site teams complete checks on a mobile web app and capture photos in the field as evidence.

  5. 5

    Servicing certificates

Alarm and emergency-lighting service certificates are ingested, classified and linked as evidence with their validity dates.

  6. 6

    Status and escalation

Fire status is computed from valid evidence; overdue checks and actions escalate through configurable rules to the right person.

What EduComply does for fire safety today

Every capability below is live in the product. The boundaries are stated plainly in the note beneath - EduComply coordinates the evidence and the operational cadence; it does not author assessments or dispatch contractors.

Fire risk assessment coordination

  • Ingest an existing FRA (forwarded by email or uploaded) and classify it automatically.
  • Extract the assessor, dates, review date, overall risk rating and recommended actions from the assessment.
  • Hold the FRA as evidence against the fire requirement, with its review date driving the next-review reminder.
  • Raise a high-risk alert when the assessed risk rating is substantial or intolerable.

Resulting actions and remediation

  • Turn the FRA’s recommended actions into tracked remedial tasks.
  • Follow each action through its lifecycle - open, in progress, completed, verified, closed.
  • Keep remediation derived from the adjudicated and extracted outcome, not raw text guesses.

Recurring operational checks

  • Generate the weekly fire alarm user test automatically, plus periodic alarm servicing.
  • Generate emergency lighting checks - the monthly functional test and the annual full-duration test.
  • Generate extinguisher, fire-door and evacuation-drill checks on their own recurrence schedules.
  • Complete checks on-site from a mobile web app, capturing photos in the field as proof.

Oversight, escalation and reporting

  • Overdue alarm tests, light tests and actions escalate through configurable rules.
  • Fire is a first-class column in the compliance heatmap, per school across the trust.
  • Requirements and recurring checks can be scoped building by building where an estate has several.
  • Exportable, audit-ready reports show the fire position and its history.

Honest limits: EduComply does not author or generate fire risk assessments - a competent person does, and EduComply coordinates the resulting evidence and actions. It has no automated FRA-scheduling engine beyond the standard recurring-check scheduler, and no contractor booking, dispatch or third-party contractor integration. Per-building scope applies to operational fire checks; the FRA itself is held at school level.

An example: a fire risk assessment is completed

The end-to-end path from a competent person’s FRA report to tracked, inspection-ready fire compliance.

  1. 1

    The FRA report arrives

A competent person completes the assessment and sends the report; it is forwarded to EduComply or uploaded.

  2. 2

    It is read and classified

EduComply recognises it as a fire risk assessment, and extracts the assessor, dates, review date, risk rating and recommended actions.

  3. 3

    Evidence is linked

The FRA is attached to the school’s fire requirement as evidence; the review date drives the reminder for the next review.

  4. 4

    Actions are raised

Each recommended action becomes a tracked remedial task, assigned and followed through to verified completion.

  5. 5

    Routine checks continue

Alongside the FRA, the weekly alarm test and the monthly and annual light tests are generated and completed with photos.

  6. 6

    The record is inspection-ready

The assessment, its actions, the recurring checks and the servicing certificates are assembled and current - ready to show immediately.

Evidence and auditability

Fire compliance in EduComply is evidence-driven. The fire requirement is met because a valid, in-date assessment and completed checks prove it - not because a box was ticked. Completing a check never marks compliance on its own; only accepted, non-expired evidence does.

Every document, evidence link, check completion and action is recorded, and changes are captured in an audit trail with who did what and when. When a fire officer or auditor asks for proof, the assessment, the test records and the remedial history are already assembled.

Implementation

Getting started works from the fire evidence you already hold. Your current fire risk assessment and recent servicing certificates are ingested and matched to the fire requirement, so the picture is built from real evidence rather than manual entry.

From there the recurring alarm, lighting and other fire checks are scheduled, and the school’s live fire position comes into view. We work closely with the teams onboarding so the setup reflects how each school actually runs its fire checks.

Security and data hosting

EduComply is hosted in the UK, with data encrypted in transit and at rest, role-based access control, per-school data separation, and a full audit trail. Sign-in is via your organisation’s Google or Microsoft account.

Frequently asked questions

Does EduComply write our fire risk assessment?
No. A competent person carries out and authors the fire risk assessment. EduComply reads the assessment you already hold, extracts its review date, risk rating, findings and recommended actions, links it as evidence against your fire requirement, and tracks the resulting actions. It coordinates and evidences fire compliance; it does not replace the assessor.
How does it handle the actions from a fire risk assessment?
The recommended actions extracted from the assessment become tracked remedial tasks - each with an owner and a lifecycle from open through to verified completion. This is derived from the adjudicated and extracted outcome of the document, so the work that gets tracked is the work the assessment actually recommended.
Which recurring fire checks can it generate?
The routine checks that sit around the assessment: the weekly fire alarm user test, emergency lighting’s monthly functional test and annual full-duration test, and extinguisher, fire-door and evacuation-drill checks. Each runs on its own recurrence schedule and is completed on-site from a mobile web app with photos captured as proof.
Does it book or manage our fire contractors?
No. EduComply does not book, dispatch or integrate with contractors. It ingests the certificates and reports your contractors produce - classifying them, extracting dates and linking them as evidence - and it tracks the checks and actions around them. Arranging the work stays with you and your contractors.
Can it show fire compliance for a trust with many schools?
Yes. Fire is a first-class column in the compliance heatmap, so a trust sees every school’s fire position in one view, with overdue checks and actions surfaced centrally and escalated through configurable rules. Reports are exportable and audit-ready.
Does it support schools made up of several buildings?
Operational fire checks - the recurring alarm, lighting and other tests - can be scoped and recorded building by building where an estate spans several. The fire risk assessment itself is held at school level.
